TECHNOLOGY ASSISTANCE & SIGN OUT PROCEDURES (revised June 2007)
Staff are asked to follow the following procedures for technology assistance.
Technical Problems
If you experience technical computer problems, please follow this procedure;
- If unable to address the problem by yourself or with the help of another staff member, complete a technology assistance form (available in the office) and put it in the ICT leader's mailbox. If the ICT leader can not deal with the problem (due to time constraints or lack of expertise: remember that the ICT leader is NOT a technician) , the request will be forwarded to the division technician. ONLY problems that are explained in writing will be dealt with by the ICT leader/technician (this is a requirement to ensure that jobs are taken care of & that a record of work done is kept).
- The technician will inform the ICT leader of the disposition of all work completed in the school.
Assistance for Resources, Training, etc
If you need help finding resources, require one on one or group help on a software package, device, etc.
Talk to the ICT leader (or a member of the resource team) informally about your needs. A written request/plan may need to be developed after this to ensure that the assistance is provided as requested.
eMac and PC Computer Lab Sign-out and Use (High School Labs)
- Check the master schedule (located in the lab) for availability. Sign outs will be on a weekly basis. The sign up sheet will be available the preceding Wednesday. Some classes like Applied Math and Accounting 40S have precedence in signing out labs. Teachers of these courses must have their request for the lab in to Mrs. (PC Lab) Mr. (eMac Lab) White the before the preceding Wednseday. Please see Mr. Kleebaum to book time in the Video Studio. Note as well that students in Digital Video Production may have computers, in the Video Studio, reserved during certain periods of the day. If these students do not arrive at class within the first 5 minutes, you may assume that their computers are free. Middle Years teachers may sign out the PC and Mac labs, but are to do so ONLY if there is space, sign up can not be done until the day required.
- Sign out the lab for the period(s) needed on the sign out sheet, if available. If you do not require all computers, note this so that others may share the lab ( if appropriate ). If you decide later that you do not need the lab, be sure to cross your name out as soon as possible.
- Teachers are to supervise their class when in the computer room and ensure that all lab policies are followed. Any problems should be reported in writing to the school technology leader. Teachers are responsible to ensure that the lab is left neat after use. Please follow end of day instructions if you have the last scheduled class for the day (stack chairs, shut down computers, tidy around printers/ computers).
- If the lab is needed, when it is booked by another teacher or by a regular class, check with that teacher - sometimes there are computers available.
- Please ensure that the lab is left neat after use. When finished working in the computer lab, please ask students to tidy up their work areas, in particular:
- clean up any paper, books etc. from around the workstation & the printer.
- slide chairs UNDER the tables, do not leave chairs in the middle of the aisle.
- If it is the last class scheduled for the day, stack the chairs at the end of the rows. Chairs are NOT to be put up on the computer tables.
- Teachers must actively supervise classes/ students from their class while in the computer lab, please do not send students as a "reward" or to do work unless supervised. If sending a few students to the lab, please make arrangements with the teacher in the room at that time before doing so.
iMac Computer Lab Sign-out and Use (Middle School & Early Years Lab)
- Check the master schedule (located in the lab) for availability. Sign outs will be on a weekly basis. The sign up sheet will be posted the preceding Wednesday.
- From Wed. until Friday please limit signing out the cart to two periods for the following week.
*If you already have two or more regularly scheduled classes in the lab, please do not reserve any more lab time until 3:20 on the Fri. This is to allow classes with only one time slot to reserve the extra spaces first.
- At 3:20 on Fri., if there are empty spots, you may sign-up for more periods.
- Sign out the lab for the period(s) needed on the sign out sheet, if available. If you do not require all computers, note this so that others may share the lab (if appropriate). If you decide later that you do not need the lab, be sure to cross your name out as soon as possible.

Mobile Computer Lab Sign-out and Use
- The carts are available for sign-out in the library.
- Cart 1 is reserved for grades K - 8.
- Cart 2 is reserved for grades 8 - 12.
- Sign-up will be on a weekly basis.
- The sign-out sheet will be posted, in the library, on the Wed. of the preceding week.
- From Wed. until Friday please limit signing out the cart to two periods for the following week.
- At 3:20 on Fri., if there are empty spots, you may sign-up for more periods.
- Teachers must sign out the mobile lab if the MacBooks will be leaving the library.
- If there are MacBooks available, students may sign out individual computers but they must remain in the library
- Teachers are to supervise their class when using the mobile lab and ensure that all lab policies are followed. Any problems should be reported to the school technology leader. Teachers are responsible to ensure that the laptops are.
- Please ensure that the laptops are properly shut down before being returned to the cart. (Proper shut down procedure is to select "shut down" from the menu or log in window and wait for the screen to turn blank before closing the lid.)
- If the lab is needed, when it is booked by another teacher or by a regular class, check with that teacher - sometimes there are computers available.
Multimedia Projector & SMART Board Sign-out
A multimedia projector and SMART board are available for booking from the library. They will be available for sign-out in the same manner as a T.V. and VCR.
If the projector in the library is booked, please talk to Mr. White or Mr. Bartley.
As a last resort, the multimedia projector, in the ME Lab, is also available for booking.
Please follow this procedure before removing the projector from the ME lab.
- Check the ME lab schedule.
- Ask the teacher(s) who have the lab booked if they will need the projector. (Teachers with regularly booked times have priority.)
- If the lab is not booked or the projector will not be needed in the lab, please write your name and the time you will need the projector on the lab schedule.
